This Privacy Policy explains how Desk Reservation SAAS ("we", "us", "our") collects, uses, and protects your information when you use DeskHybrid.

Information We Collect

We collect information you provide directly, such as your name, email address, and account-related details. We also collect limited usage data required to provide desk booking, hybrid office management, and related operational features.

Location Data

DeskHybrid may collect precise location data during QR-based check-in to verify office presence and prevent misuse of the check-in feature. Location data is collected only at the time of check-in and is not used for background tracking.

App Analytics and Diagnostics

In the DeskHybrid web and mobile applications, we collect limited app usage data and crash diagnostics to improve application stability, performance, and user experience. This may include app interactions, feature usage, and error reports. Analytics and crash data are processed using Google Firebase services.

Website Analytics and Cookies

Our public website (www.deskhybrid.com) uses Google Analytics 4, provided by Google, to understand how visitors use the site. We use Google Consent Mode, which works as follows:

• Before you make a choice, or if you reject analytics cookies: no analytics cookies are stored on your device. Google Analytics receives cookieless signals only, such as the page visited, interactions like button clicks and sign-up form steps, browser and device type, and an approximate location derived from your IP address. These signals contain no persistent identifier and are used by Google to produce aggregated, modeled statistics.
• If you accept analytics cookies: Google Analytics sets the cookies _ga and _ga_<ID> (stored for up to 2 years) to recognize repeat visits and measure how the site is used.

We never send your name, email address, company name, or the contents of form fields to Google Analytics. Google Analytics 4 does not log or store IP addresses.

You can change your choice at any time using the Cookie Settings link in the website footer. If you withdraw consent, we delete the Google Analytics cookies from your browser.

To remember your choice, we store a strictly necessary cookie (cookie_consent_deskhybrid, kept for 1 year) and a matching entry in your browser's local storage. These do not identify you.

Security and performance. Our website is delivered through Cloudflare, which processes IP addresses and request data to protect the site against attacks and to provide aggregated, cookieless performance measurement. Our sign-up and sign-in forms use Cloudflare Turnstile, which processes browser and device signals to tell people apart from automated bots. We also use Sentry to receive technical error reports from the website (for example browser type, page, and error details), without your name or email address.

Legal basis and transfers. We rely on your consent for analytics cookies, and on our legitimate interest in understanding aggregate website usage and in keeping the site secure for cookieless measurement, security, and error reporting. Google, Cloudflare, and Sentry may process data outside the European Economic Area, including in the United States, under appropriate safeguards such as the EU Standard Contractual Clauses or the EU–U.S. Data Privacy Framework.

Payments

Payment information is processed by Paddle.com, our Merchant of Record. We do not store full payment card details on our systems.

Data Retention

Personal data is retained only for as long as necessary to provide the Service. When an account is deleted, associated personal data is deleted or anonymized. Certain operational records (such as booking history or audit logs) may be retained where required by law or for legitimate business purposes, with access strictly restricted.

Account and Data Deletion

Users may delete their account at any time through the DeskHybrid application. If you cannot access your account, you may request account or data deletion by contacting us via email. Additional information is available on our Account Deletion page.

Data Security

We apply reasonable technical and organizational measures to protect your information. All data is transmitted using secure connections. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
